New Records Management System
The Records Management System is going to house all documents held by the city as an electronic picture. The system is comprised of scanners, software and new business processes that will affect all of the City of Winter Springs administration. The RMS project kicked off on August 23rd, 2004 with the Commissions approval and is expected to be completed around the end of 2007.
The City Clerk's Office and the IT Department have completed the 1st scanning phase of the City Clerk's Office documents. The 'Document Search' feature on the city website, allows citizens access to browse and search through commission and committee meeting documents, city contracts, resolutions, ordinances and more. With limited web access to the documents in the system any person can request additional documents directly from the City Clerks Office.
The implementation of the RMS project will reduce the chances of lost or damaged documents. Citizens will experience a quicker response time with records requests and administration will have quicker access to the information they need to best service the City.
