Going Green!

The Information Services department is helping City Hall in the effort to go green. Here are some of the projects that have contributed to this cause:

The virtualization movement has helped reduce the number of physical servers thus reducing energy usage. Not only does virtualization help reduce energy consumption but it also makes production much faster and more efficient.

Paperless forms allows users to fill out forms without the need to print them out. The utilization of a web browser and digital signatures makes this possible. It also makes the process much more efficient now that the paperless forms are routed via a digital workflow.

Employee Self Service is the new way of doing timesheets and time off requests. With all of this being done online, there is no need to print out paper copies.

New Records Management System

records.jpgThe Records Management System is going to house all documents held by the city as an electronic picture. The system is comprised of scanners, software and new business processes that will affect all of the City of Winter Springs administration.

The Records Management Team has completed the scanning process of many department's documents. These documents can be accessed under the 'Document Search' feature on the city website which allows citizens to browse and search through. Currently the City Clerks Department contains the largest volume of documents available for public viewing via the website.

The implementation of the RMS project will reduce the chances of lost or damaged documents. Citizens will experience a quicker response time with records requests and administration will have quicker access to the information they need to best service the City.
